Daily Rental Vehicle Reservations

Daily rental vehicle reservations officially transition to Enterprise on June 30

Departments, travelers and their delegates should review the information below.

Summary of changes:
• All travelers with an existing Purdue Travel Card (TCard) should start using Enterprise now for university business vehicle reservations.
• Individuals who anticipate future travel but do not have a TCard should work with their business office to apply for one or determine other appropriate payment options (see “Travelers without a TCard” section below).
• Guidance on how to book a rental car is included below.
• Limited rental vehicle services will remain available through Transportation Services until May 31 with all reservations ceasing on May 31.

Travelers with a Tcard
Effective immediately, travelers who already have a TCard (or their travel delegates) should use the options in the order listed below to reserve rental vehicles:
1. Book through the Purdue/Enterprise reservation link (https://partners.rentalcar.com/purdue-univ/?_ga=2.250416581.254055050.1716209357-656170823.1715012559)
     listed on the Purdue discount page (Purdue login credentials are required to access), where the discount code will automatically be applied.
2. Call the local Enterprise branch at 765-463-4804, touch the star (*) key to speak to a local Enterprise employee and reference the Purdue discount code (https://www.purdue.edu/procurement/travel/discounts/codes/index.php) (Purdue login credentials are required to view) when making your reservation. Callers who do not touch the star key may be routed to a nonlocal office that is not familiar with the Purdue rental process.

  • Hertz is another preferred vendor, and reservations may be made through them as an alternative. Visit the link above if a discount code is needed when booking.

3. Follow the quick reference guide (https://purdue0.sharepoint.com/:w:/s/Procure/training/EW-VztRBFPxDq-iT5Mrq0cwBdmCG-SGhBInOWRUXSYRW6w?e=FNqMMW&_ga=2.37500256.1731818204.1711371394-866438707.1709673475&wdLOR=c7DBB793B-0751-4C30-9709-8BB90A316B90) to book through Concur, where the discount code will automatically apply.

Travelers will need to pick up their reserved rental vehicle at the vendor’s location during established business hours and use their TCard to pay at the counter.

Travelers without a TCard
Individuals who are planning future travel and do not already have a TCard should work with the business office regarding reservation options.

Book directly through Enterprise using the first or second option above.

If applying for a new Tcard, applications will take approximately 10-14 days to process. Since internal billing is not available through Enterprise, choose the “pay at counter” option; then pay with the new Tcard (if applicable) in person at Enterprise when picking up the reserved vehicle during their business hours.

As an alternative, a departmental Purchasing Card (PCard) may be used with permission from the business office.

If a rental vehicle is needed within a week’s notice prior to May 31, and a departmental PCard is unavailable, contact Transportation Services at transportation@purdue.edu for assistance.

Student employees
Students who need to rent a vehicle for university business should seek a departmental PCard for payment with permission from their business office.

Also, student employees must be designated as an approved driver by Risk Management (https://www.purdue.edu/business/risk_mgmt/Vehicle_Use_Info/index.html) (complete the RM01D DocuSign form) prior to renting a vehicle for business use, and business offices should ensure that all other Risk Management requirements for students are met before a vehicle is rented.

Student organizations
Student organizations should work with SAO for guidance on rental vehicles. Information is available on the Student Organization Transportation Requests webpage (https://www.purdue.edu/transportation/student_orgs/index.html).
